PRIVACY POLICY

If you’re reading this, you’re either really into privacy (respect) or just like knowing how your data’s being handled (also respect). Either way, we’ve written this in plain English—no jargon, no legal waffle, just the facts. Here’s what we collect, why we collect it, and how we treat your information with the respect it deserves.
Who are we?
We’re Map Room, the practitioner-led business built for ambitious brands looking to transform, drive growth, stay ahead of regulation, and build high performing teams.
We offer consultancy, and resourcing and recruitment services.

What personal information do we collect?
We collect just enough information to be useful—but never more than we need.
From this website, that means:
-
Your name
-
Your work email address
-
Your company name
This happens when you:
-
Fill in the contact form
-
Sign up to our newsletter
We also collect some anonymous info about how you use the site, through cookies (yep, we use cookies—more on that below).
Behind the scenes, our site uses cookies to collect anonymous usage data—things like which pages are visited, where users come from, and what they click on. It helps us understand what’s working and what’s not.
That’s it. Just the basics to help us respond if you get in touch—or share useful stuff if you’ve asked for it.
Why do we collect it?
To be useful, helpful, and relevant—not annoying.
We use the information you give us to:
-
Respond to your messages
-
Send you content you’ve signed up for
-
Improve the site and our communications
-
Track what content’s actually useful (so we can make more of it)
If you’re a customer, contractor or collaborator, we’ll also use your information to do the work we’ve agreed to do. But we’ll always explain how, when, and why.
Who do we share it with?
We only share your data with a handful of trusted partners who help us run our business. These include:
-
Our CRM and email platforms (like HubSpot)
-
Our website analytics provider (like Google Analytics)
They help us store, track, or understand data—but never use it for their own ends. We’ve checked they meet the right standards (like GDPR).
We only work with companies we trust. We do not, and will never, sell or rent your data. It’s not our style.
What happens if you don’t give us your info?
(Or if you ask us to stop using it?)
Well… nothing dramatic.
If you don’t give us your details, we won’t have them. Which means:
- You won’t get any updates, news, or insights from us (unless you're proactively checking the site daily, which we'd never expect)
-
You won’t be first to hear about events, new services, or the occasionally brilliant thing we publish
And if you’ve already shared your info and later ask us to stop using it—we’ll stop. No hard feelings. Just a swift unsubscribe or delete (depending on what you ask us to do).
We might shed a single tear… but we’ll respect your decision entirely.
How long do we keep your data?
We keep it as long as it’s useful—or until you ask us not to.
If you’re a newsletter subscriber, we’ll keep your details until you unsubscribe (which you can do any time with a single click).
If you’ve contacted us or worked with us, we’ll hold onto your data aligned to the contracts we have in place.
We regularly review what we’re storing. If something’s outdated or no longer needed, it goes in the (digital) bin.
How do we keep your data secure?
We use secure systems, trusted platforms, and common sense.
Our data is stored in secure enterprise-grade cloud-based systems with restricted access. We have appropriate policies, permissions, and processes in place to keep your information safe from unauthorised access, loss, or misuse.
That said, if something ever went wrong, we’d tell you straight away—and do everything we could to fix it.
What are your rights?
You’ve got rights. And we respect every single one of them.
You can:
-
Ask to see the data we hold on you
-
Correct it if it’s wrong
-
Delete it if we don’t need it anymore
-
Object to or restrict how we use it
-
Ask us to stop contacting you
-
File a complaint if you think we’ve got it wrong
To do any of that, just email us at email address above. We’ll get back to you within any timeframes required by law.
Cookies
We use cookies to make the website work better and give us insight into how people are using it.
Some are essential (like keeping the site running smoothly). Others help us understand which content gets attention and which bits get ignored.
You can manage or disable cookies through your browser settings. Or just accept or reject them via our cookie banner when you first land on the site.
For full details, check out our Cookie Policy.
Changes to this policy
We’ll update this policy when we need to—whether that’s because of new laws, new tools, or just us doing something differently.
We’ll always keep this page updated with the latest version. If the changes are big, we’ll let you know directly.
